You send an estimate and then… wait. Most contractors send a quote and never follow up — and lose jobs they could have won. A structured follow-up sequence recovers a meaningful share of unsold estimates, often 20% or more. Here’s the sequence that closes stalled quotes.
Why follow-up wins jobs you’d otherwise lose
An unsold estimate isn’t a “no” — it’s a “not yet.” Customers get busy, compare options, or forget. A polite, persistent follow-up keeps you top of mind at the moment they’re ready to decide, and often you’re the only one who bothered to follow up. That alone wins jobs.
The follow-up sequence
Space these out; stop as soon as they book or clearly decline. Mix text and email based on what the customer prefers.
Same day — confirmation: “Hi [Name], thanks for the chance to quote your [job]. I’ve sent the estimate — let me know if any questions. Happy to walk you through it.”
Day 2–3 — gentle nudge: “Hi [Name], just checking you received the estimate for [job]. Any questions I can answer? I can also hold [availability] if you’d like to book.”
Day 5–7 — add value/urgency: “Hi [Name], following up on your [job] estimate. If timing’s a factor, I have an opening [date]. Anything holding you back I can help with?”
Day 10–14 — the check-in: “Hi [Name], I don’t want to pester you — just want to make sure you have what you need. Still happy to do the work whenever you’re ready.”
Day ~30 — the soft close: “Hi [Name], closing the loop on your [job] estimate. If now’s not the time, no worries — I’ll keep it on file. Just reach out when you’re ready.”
What makes follow-up work
Be helpful, not pushy. Offer to answer questions, not just “did you decide?”
Make booking easy — include a clear next step and availability.
Present options in the estimate itself to raise close rates (good-better-best).
Automate the reminders so you actually do it every time (automation).
Warm the follow-up with reputation
A follow-up lands better when the customer has already seen glowing reviews — they’re reassured, not pressured. Estimates from a well-reviewed business close faster and follow-ups feel welcome. Tailwind builds that trust automatically, and the moment a job closes it asks for the next review — see how it works. See also quote follow-up templates.
